A. The administrator copies it locally before canceling the contract.
Cancel your Office 365 account when an employee leaves the company. However, you may want to keep the user's email and files used for business. Unlike when you provided file sharing and email services in an on-premises environment, you may not be able to access your account if you cancel your account. The administrator needs to do some work before canceling.
Of the cloud storage, OneDrive files are personal disk space, so if you cancel, you will not be able to access them. If you want to keep the data, give the administrator access to OneDrive and copy the data to another server or local before canceling. However, please note that even an administrator cannot copy files from OneDrive to OneDrive.
For mail, use the mail archive introduced in Q17. As a compliance function, the archive of Exchange Online has a mail storage function in case of proceedings. If this function is enabled in advance, the administrator can search archived emails even after canceling the contract.
